About this tool

How to use it

  1. Enter your shift start time (clock-in) and end time (clock-out).

  3. Enter your hourly pay rate and select any applicable overtime or night differential multiplier.

Why it matters

Standard digital clock time (hours and minutes) does not match the decimal hours required by payroll systems, causing frequent payroll discrepancies and timesheet confusion. For example, working 7 hours and 45 minutes equals 7.75 decimal hours, not 7.45. Furthermore, shifts that begin in the evening and end the following morning cross midnight, requiring 24-hour modulo arithmetic to calculate accurate durations.

When to use it

Use this tool at the end of each work shift, when filling out weekly employer timesheets, checking wage slips for payroll accuracy, or scheduling staff shifts.

Good to know

Overnight Shifting: If your shift clock-out time is earlier than your clock-in time (e.g. 21:00 to 05:00), the calculator automatically detects that the shift concluded on the following calendar day.

Common questions

How do I convert hours and minutes to decimal hours?

To convert minutes into decimal hours, divide the minutes by 60. For example, 15 minutes is 0.25 hours (15/60), 30 minutes is 0.50 hours (30/60), and 45 minutes is 0.75 hours (45/60). An 8 hour 30 minute shift is 8.50 decimal hours.

How does the calculator handle overnight shifts crossing midnight?

When the end time is numerically less than the start time (e.g. 10:00 PM to 6:00 AM), the calculator adds 24 hours to the end time to calculate the exact elapsed duration across the midnight threshold.

Are meal breaks deducted from total hours?

Yes. Most labor laws classify meal breaks as unpaid rest periods. Enter your break duration in minutes (e.g. 30, 45, or 60 mins), and it will be deducted from your gross clock-in duration.

What is a night differential or overtime multiplier?

Many shift worker contracts offer enhanced pay rates for unsocial hours (e.g. 1.25x for graveyard shifts) or overtime (1.5x time-and-a-half). Selecting a multiplier scales your hourly rate accordingly.

Can I copy the shift summary directly to my employer?

Yes! Clicking 'Copy Timesheet Text' copies a standardized summary string directly to your clipboard.
